Who we are
Kai Hospitality Sdn Bhd (“KAI”, “we”) operates this website, kaihospitality.org. This policy explains what data this website handles and how to reach us about it. The KAI platform itself is provided to hotel customers under a subscription agreement, which governs the data processed there; a summary of the platform’s data practices is below.
What this website collects
As little as we could manage. This website sets no cookies, runs no analytics, loads no third-party scripts and embeds no trackers. Fonts are served from our own domain. There are no forms. The only way to give this website personal data is to email us.
Like almost every website, our web server keeps standard access logs (the requesting IP address, the page requested, browser user agent, and a timestamp). We use them only to operate and secure the service, and they are kept for a limited operational period, not compiled into profiles.
When you email us
If you write to hello@kaihospitality.org, we receive whatever you choose to send: typically your name, email address and message. We use it to reply and to follow up on your enquiry. We do not sell it, and we do not add you to a mailing list you did not ask for.
How the KAI platform treats data
The platform processes hotel operational and statutory data on behalf of its hotel customers, under the subscription agreement. The practices the product is built on, as described across this site: the audit parsers extract only the dates, amounts and codes the compliance checks need, so guest names, passport numbers and identity card numbers never reach the statutory record; raw uploaded files are deleted after 30 days; anonymised statutory tax records are retained for the 7-year statutory period; and guest analytics are aggregated with a K=5 anonymity floor. Where a hotel enables the optional guest-relationship module, guest contact details are encrypted at rest within that hotel’s own tenant and are not used outside it. Hotel guests with questions about their data should contact the hotel they stayed with, which remains the data controller for its guests.
Your rights
Under the Personal Data Protection Act 2010 (as amended), you may request access to or correction of personal data we hold about you, or withdraw consent to its processing. Write to hello@kaihospitality.org and we will respond as the Act requires.
Changes
If this policy changes, the new version is published here with an updated effective date. We will not quietly weaken it.
